Work with the ASA! Now accepting applications for a Program Assistant


Established in 1957, the African Studies Association is the largest organization with a global membership devoted to enhancing the exchange of information about Africa. With almost 2,000 individual and institutional members worldwide, the African Studies Association encourages the production and dissemination of knowledge about Africa, past and present. Based in the United States, the ASA supports understanding of an entire continent in each facet of its political, economic, social, cultural, artistic, scientific, and environmental landscape. Our members include scholars, students, teachers, activists, development professionals, policymakers and donors.


The Program Assistant reports to the Executive Director, and for day-to-day responsibilities to the two ASA Program Managers, providing administrative and programmatic support by assisting with the creation, coordination, and administration of programs, projects, and/or processes. The Program Assistant arranges and coordinates logistics for events and meetings, and participates in the implementation of key ASA programs. The Program Assistant works closely with the ASA’s key constituencies including members, Board of Directors, and meeting participants and should represent the ASA in a professional manner. 

Essential Duties & Responsibilities:

Program Support: Annual Meeting

·Responsible for general administrative tasks related to the ASA's annual meeting, including but not limited to sending out letters to invitees, and handling the travel logistics of fellows and other visitors/speakers. 

·Assist with the meeting registration, including following up with registration payments and online system issues, and monitoring of the registration list

·Travel to the meeting venue for 1 week, to assist with logistics and administrative matters.

·Assist with identifying new vendors and handling administrative matters related to vendors and onsite services.

·Provide assistance from time to time with additional ASA organized meetings and events.

Program Support: Coordinate Organizations

·Point of contact for all ASA coordinate and affiliate organizations

·Follow-up on annual coordinate organization surveys, scheduling of coordinate organization meetings, and coordinate organization announcements

·Process new coordinate organization applications for consideration by the ASA Board of Directors and monitor membership status of current coordinate organizations.

·Distribute quarterly financial reports to coordinate organizations and serve as a centralized point of contact for questions from coordinate organizations for the ASA accountant.

Program Support: Presidential and Carnegie Fellows

·Logistical and organizational support for the fellow selection process, including answering questions about applying, setting up online submission form, and monitoring submissions

·Coordinate institutional hosts for Presidential fellows 

·Coordinate all fellows’ travel and visa processes ahead of the annual meeting

·Serve as an onsite point of contact for the fellows during the annual meeting

Program Support: Membership

·Provides membership database support by updating and maintaining the database of ASA members. 

·Ensures accurate data entry of all member data, which may include populating additional data as required. Prepares and runs reports as needed.

·Assist ASA members with online access and navigation of the ASA Member Portal

· Update membership information on the ASA website

·Administers communication campaigns to ASA members, including website updates and social media updates.

· Assists with ASA’s annual awards and prizes

· Coordination of shipping of books for review for journal and awards

·2+ years working directly with a senior staff member, in a nonprofit setting.

·While experience working with Africa or interest in Africa is not required, it is a

strongly preferred

·Bachelor’s degree or an equivalent combination of education and/or experience that

demonstrates knowledge and understanding of office administration, organization,

coordination, facilitation, bookkeeping and/or report writing.

·Strong computer skills and proficiency in the MS Office suite of software.

·Strong organization skills, with the ability to prioritize tasks without supervision.

·Strong communication and problem-solving skills.

·Comfortable with web and CMS systems (Joomla! is the platform used for the ASA

website) technology, blogs, and social media platforms.
